Roy Piper offer out

Hello, everyone. I thought I would address how I am managing the wait list.

In reality, wait lists are not as deep as some might think despite the raw numbers on them. Most people sign-up after a friend tells them about Wine X, or they try the wines at a friends house, or it gets a big score by a critic, or a post on a message board prompts someone to sign up.

For wines like mine, which really do sell-out, typically there is a 2 year wait for an offer, as few of my buyers ever drop off. This year a few people who signed-up in 2020 reminded me that they have not received an offer. We did not release a 2020 and that pushed everything back a year.

The reality is that unless you are SQN or MacDonald or Scarecrow of Screagle, about 60% of a wait list beyond a year is what we call “dead.” Those beyond 2 years is 80% dead and those beyond three years is 90%+. By “dead” we mean that the impetus to sign up, which is often impulse driven, wears off by the time one gets an actual offer the further out one goes. A wait list with 2000 on it might only have 200 still interested. Many wineries do not seem to understand this dynamic and assume losing a buyer is easy to replace with a long list. Not so!

It is very possible that I could open the whole wait list (2600 strong) and easily blow out what little 2021 I have left in an hour or two but I feel those on the list longer deserve at least a few hours head start, even though most are probably no longer interested.

Thus I am adding waiting list offers in “waves” spread out by a couple of hours. Jan 2020 through Aug 2020 was group A, Sept 2020 through Aug 2021 was Group B and Sept 2021 through Aug 2022 is Group C. Group A went live at midnight, Group B is live now. Group C gets their offer in about 1 hour.

There are also a few laggards among existing buyers but they were given a week and knew the wait list would get their offers starting today but I always hold back a few cases for the inevitable late arrivals. My view is once someone buys, do everything to keep them because it takes maybe 10+ people on a wait list to fill their place.

Honestly, we were 90% sold-out after 48 hours but I don’t mind taking my time for the final 10%, making sure every buyer has a lot of time (and chances) to purchase. And then rolling it out in waves a batch at a time until it is gone. I much prefer making sure those who really want the wine can get it, rather than being able to claim “sold out” in 2-3 days.

Since my wines are agers and often need a year or two in bottle to shine, I like to offer new buyers a couple of vintages with some age on em, so they can try older wines while they wait for the new release to recover from bottling and shipping. In this case, I am offering 2016 and a special bottling of 2019 to the offer, all at the same price of the 2021.

That 2016 is already stunning with 30 minutes of air, then continues to develop if you enjoy following a wine over the course of 3-4 hours. Otherwise, Roy suggested a one hour double decant.

Roy, I totally appreciate the reply and information. Looks like I signed up one month too late for Wave B, lol (I was 10/21). But now that I know, I know :slight_smile: Of course people who signed up earlier than I am are due their offers soon - no worries! (I was just worried that somehow my account wasn’t properly activated, because someone said they signed up last year and had already gotten an offer. Clearly they were mistaken).

This kind of clear communication (during a busy part of the season) is the hallmark of a first-class operation. Same goes for the fantastic emails and videos Roy sends out to the list.

I had the pleasure of tasting Roy’s 2021 and it is without a doubt one of wines of the vintage. I preferred the Piper over Scarecrow & Harlan, Incredible aromatics, beautiful structure and tremendous length. Went all in for my allocation.

Jeff, I typically hold back about 5%, or 15 cases, just for laggards and other unique situations such as offering to the wait list like I am now. Alas, even that amount typically lasts only a couple of years.

2016 was an odd bird, as I had Farella Vineyard that year. Alas, in 2017 the fire burned up to my block in Farella so with less production in 2017 I needed to hold back more of the 2016 than I planned, about 50 cases. Otherwise I would have sold more 2016 than I could offer in 2017. This turned out to be a lucky situation, as I have been slowly selling some of that to newer buyers ever since, with great success.

I should be holding back more. I barely have any older stuff to my own name!

The 2021 response has been way above expectations. I don’t think I will be holding any 2021 back for long as some people have “wish listed” additional bottles that will sop up everything the wait list does not buy today or laggards decide not to purchase.

I also have some 18 Moulds Family Cab and 17 Piper in reserve. The 2017 is really improving by leaps and bounds but I think it will be even better next year so decided not to include that in the offer for now, to reduce confusion.

Ann, sorry about the confusion…my folder of wineries lists/members is somewhat beyond control and then my system seems to automatically drop messages after a period of time. Not the most technologically advanced user!

Thanks for the info, Roy. I think I was Group B and bought 1 of each vintage offered. What a great way to get introduced to your wines, especially after reading about them for years. Likely it will be Christmas (shipping plus resting) before my first taste, but looking forward to it.

Interesting and thanks for the response. I am assuming the 15 cases is in full and not 15 cases of each wine. I was always curious how much wine got held back for library tastings, verticals, reviewers, etc.

Good stuff thank you Roy. Got my first offering and confirmed Group B sign up offering . The 2016 offer put me over the top on ordering. I have exceeded my budget this year…again…but the board interaction on Roy Piper sold me on committing.

I signed up last night and so obviously wouldn’t get anything. But Roy has been such a positive and honest presence here that I thought I should try his wines. They are quite possibly not in my style which is why I’m so late in signing up.

I made it up to July of 2022 with the offer to the wait list but only 1/3 saw the email by the time I closed the offer today.

As I mentioned in the email today we are really going after more market share of your high-end wallet starting next year with a couple of new SKUs. I expect to blanket offer the whole wait list next year after the buyers get their shot since we are making 30% more than this year. And 2022 is the best wines I’ve ever made so it was a good year for expansion.
